Version 2026-10-28.1 · fingerprint fe793bd9650cb373

Version: 2026-10-28.1 Effective date: 28 October 2026

These terms apply when you use portal.healthcareapp.co.za (the "portal"). The portal software is run by Healthcare App (Pty) Ltd (registration number 2019/612883/07) ("Healthcare App", "we", "us"). The clinical services, records and certificates are provided by Therapy On The Go (Pty) Ltd (registration number 2022/668078/07) or by the clinic named on your record.

By signing in you accept these terms and confirm that you have read the Privacy Notice. If you do not accept them, do not use the portal. You can still ask the clinic for paper copies of your reports and certificates.

1. Who may use the portal

  • Patients and employees aged 18 or older, to see their own records.
  • Staff of the clinic (nurses, clinicians, doctors, administrators and auditors), each only in the role they were given.
  • Employer HR users named by their employer, to see fitness outcomes and group statistics only.

You may not use the portal for anyone else's records unless the law gives you that right (for example, a parent or guardian through the clinic).

2. Your account and signing in

  • You sign in with a secure link and a 6-digit one-time code sent to your e-mail. SMS codes may be added later.
  • Staff sign in through Microsoft Entra and an authenticator app (two-step sign-in).
  • Keep your e-mail account, phone and authenticator safe. Do not share codes, links or devices with anyone. We will never ask you for a code by phone, e-mail or message.
  • Sign out on shared devices.
  • Tell us straight away at info@therapyonthego.co.za if you think someone else used your account, a code or a share link. We may lock the account while we check.
  • You are responsible for what happens through your account if you shared your sign-in details or codes on purpose or carelessly.

3. Claiming records

  • You may claim only your own records.
  • To claim a record you need matching identity details (ID or passport number and date of birth) plus a one-time code sent to the contact details on the record, or a claim code from your employer or the clinic. Some records can only be linked after the clinic checks your identity with you.
  • We limit and log every claim attempt.
  • A false claim is unlawful. Getting or trying to get someone else's personal information without permission can be an offence under the Protection of Personal Information Act 4 of 2013 (including section 100) and the Cybercrimes Act 19 of 2020. We will block the account, keep the evidence and may report it to the South African Police Service and the Information Regulator.
  • If you find a record that is not yours, do not open or share it. Tell us at once.

4. Share links

  • You may create a link to share one of your documents (for example a certificate) with someone you choose.
  • Each link expires on the date shown and you can cancel it at any time in the portal. The person may also need a one-time code.
  • Once someone has downloaded a document, cancelling the link cannot take that copy back. Share only with people you trust.
  • Every view of a shared document is recorded in your "who viewed my record" page.

5. Downloads

  • You may download your own reports and certificates for your personal use and to give to people who need them, such as a new employer or your own doctor.
  • Do not change a downloaded report or certificate. Changing or forging a medical certificate is a criminal offence.
  • Once a file is on your device, keeping it safe is your responsibility.

6. Verification page

  • Certificates carry a QR code and a reference number. Anyone can check them on the public verification page.
  • The page shows only the certificate type, the holder's initials, the status (valid, expired or revoked) and the date. It never shows results.
  • Do not try to guess reference numbers or collect information from the verification page in bulk. We limit and log such requests.

7. Not medical advice; emergencies

  • The portal shows records and results. It does not replace a consultation. Plain-language explanations are general information. Ask your clinician or doctor about your own results.
  • Results marked "preliminary" have not yet been confirmed by a doctor. Do not rely on them for decisions.
  • The portal is not an emergency service and is not monitored all the time. In an emergency call 10177 for an ambulance, or 112 from a mobile phone, or go to your nearest hospital emergency unit. For the police call 10111. If you are thinking about suicide, call the SADAG Suicide Crisis Helpline on 0800 567 567 (free, 24 hours).

8. Acceptable use

You may not:

  • try to get into another person's account or record, or into parts of the portal your role does not allow;
  • test, scan or attack the portal's security without our written permission (report security problems to info@therapyonthego.co.za instead; thank you for doing so responsibly);
  • upload harmful code, overload the portal, or copy data from it with automated tools;
  • use the portal for anything unlawful.

We may suspend or close an account that breaks these terms, and we may report unlawful conduct.

9. Availability and changes

  • We work to keep the portal available and secure, but we cannot promise it will always be available or free of errors. We may pause it for maintenance or security reasons, giving notice on the portal where we can.
  • We may change the portal or these terms. We will publish changed terms with a new version number and date and, if the change is important, ask you to accept it at your next sign-in.

10. Responsibility and liability

  • Nothing in these terms limits any right you have under the Consumer Protection Act 68 of 2008 or any other law that cannot be excluded.
  • To the extent the law allows, Healthcare App is not liable for loss caused by: events outside our reasonable control; your sharing of your codes, links or downloaded files; or your reliance on results marked "preliminary".
  • We do not exclude or limit liability for loss caused by our gross negligence, our intentional wrongdoing, or our failure to meet our duties under POPIA.
  • Clinical care is the responsibility of the clinic and the registered professional who treated you, under their professional rules.

11. Privacy

How we use personal information is explained in the Privacy Notice, version 2026-10-28.1. If these terms and the Privacy Notice conflict on a privacy matter, the Privacy Notice applies.

12. Governing law

These terms are governed by the law of the Republic of South Africa. South African courts have jurisdiction. You may also approach the Information Regulator, the National Consumer Commission or any other body the law allows.
